A ₹5 lakh monthly expense rarely gets a second look. It gets approved. It gets booked. It gets paid.
After all, it is just ₹5 lakh. But that is precisely how expensive financial decisions hide inside growing businesses.
₹5 lakh a month is ₹60 lakh a year. And once you look at it that way, the question changes from “Can we afford this?” to: “Is this expense earning its place in the business?”
Small expenses become big financial decisions
Consider a recurring expense—technology, rent, logistics, manpower, marketing, software, professional fees or outsourced services. The individual monthly number may appear manageable.
But over 12 months, it becomes ₹60 lakh. Over three years, that is ₹1.8 crore.
And the real cost can be even higher if that money could have been deployed elsewhere—towards working capital, expansion, debt reduction, technology or another investment generating better returns.
This does not mean every ₹5 lakh expense should be cut.
It means every significant recurring expense deserves a business case.
What is the expense actually producing?
Before approving or continuing a large recurring cost, management should be asking:
What does it generate?
Does it increase revenue? Improve productivity? Reduce risk? Save management time? Improve customer retention? Enable scale?
Then comes the next set of questions:
Can it be redesigned?
Could the same outcome be achieved through a different operating model?
Can it be negotiated?
Are contracts, vendor rates or commercial terms still appropriate for the current scale of the business?
Can it be automated?
Is the business paying people to perform repetitive processes that technology could handle more efficiently?
These questions turn expense management from cost-cutting into capital allocation.
Financial discipline is not about spending less
A business that cuts every expense indiscriminately can damage its own growth.
The objective is different:
Spend deliberately.
Know which costs create value. Know which costs enable growth. Know which costs have simply continued because nobody stopped to question them.
This is where management-level financial visibility becomes critical.

At PGC, our Virtual CFO and financial reengineering services help businesses look beyond the P&L to understand where money is being spent, what it is generating, where inefficiencies exist and how financial resources can be deployed more effectively.
